Banquet Information and Policies
Seating Capacity 40-200 people
Total estimated charges regarding your event are payable in full prior to the event. Payment may be made by cash, credit card, or pre approved check. A credit card number will be kept on file for possible incidentials.
A contract will be drawn prior to the event. This contract must be signed and returned along with 50% of the estimated charges, at least 45 days prior to the event.
The final guarantee number must be submitted ten days prior to the event. There can be no decrease in the guarantee after this time. This guarantee may be increased after this time with prior notice. The final estimated payment is due at this time (ten days prior). Any final charges or adjustments will be due at the end of the event. These charges will be based on the guaranteed number, and any increases occurred during the event. This would include a hosted bar tab, food and beverage served to individuals not included in the original numbers.
Complete beverage serveices are available at the Heartwood Hall. Twin Oaks Country Inn/Heartwood hall is the only authorized licensee able to serve liquor, beer, or wine on
the premises. No beverage of any kind may be brought into this establishment by patrons or guests. In compliance with Wisconsin liquor laws, no alcoholic beverages will be served or sold to any persons under the age of 21 of after 12:00pm.
Wedding Cake Service
Wedding Cake will be served at no charge if serve in place of menu dessert. If served in addition to menu desert there is a $.30 per person charge.
Beverage Service Fees
A bartender service charge of $85.00 per bartender is required. One bartender is adequate for up to 80 people. Parties over 80 people will require two bartenders. For events less than three hours in length, bartenders may be billed at an hourly rate of $15.00.
Service Charges and Sales Tax
Food and beverage prices are subject to the customary 18% service charge and 5.5% state sales tax. Wisconsin state law states that the service charge is subject to sales tax and must be collected. Any group requesting tax exemption must submit their tax exempt number prior to the event.
A coat check is available upon request for an hourly fee.
We do not permit the affixing of any adhesives, nails, staples, tape or any other substances, to the floors or walls.
If an event is cancelled, the deposit is non refundable. If an event is cancelled less than 30 days prior to the event the client will be responsible for 1/3 of the estimated food and beverage costs.
Twin Oaks County Inn/Heartwood Hall will not assume responsibility for the damage or loss of any merchandise or articles left on the premises prior to or following an event. Client agrees to be responsible for any damages to the premises, by client’s guests, independent contractors, or persons involved or hired by the client, during the period of time that they are in use of the facility. Twin Oaks Country Inn/Heartwood reserves the right to inspect and control all private parties, meetings, receptions, etc. being held on the premises.
Performance of this agreement is contingent upon the ability of the management to complete the same, and is subject to labor troubles, disputes, or strikes, accidents, government acts, restrictions upon travel, transportation, food, beverages or supplies and other causes, whether mentioned herein or not, which are beyond control of management and as such, preventing or interfering with performance.
